1. Who Operates Burt

Burt is operated for tabletop roleplaying and Discord server support. The server owner or bot operator controls how Burt is configured in a server, including channels, role access, enabled features, and AI limits.

2. Information Burt May Process

Depending on server configuration and the command used, Burt may process:

• Discord user IDs, server IDs, channel IDs, message IDs, and role IDs;
• message content, command prompts, slash-command inputs, mentions, and replies sent to Burt;
• bot configuration, permissions, role mappings, cooldowns, limits, and server settings;
• usage logs needed for debugging, moderation, abuse prevention, and cost control;
• locally supplied game material, such as PDFs, JSON files, notes, rules references, and campaign documents.

3. How Burt Uses Information

Burt uses information to operate bot features, respond to commands, check permissions, apply role and channel restrictions, provide rules or campaign assistance, prevent spam or abuse, troubleshoot faults, and manage AI/API usage limits.

Burt may also use configuration and command history to improve the reliability of server-specific responses, provided that feature is enabled by the operator.

4. AI Features and Third-Party Providers

When AI-assisted features are enabled, relevant prompt content and context may be sent to third-party AI or API providers to generate a response. This may include the user’s command, recent relevant conversation context, selected game references, or server-specific instructions.

Do not send Burt private, confidential, sensitive, or legally restricted information unless you are comfortable with it being processed for the command you are using.

5. What Burt Stores

Burt may store server configuration, command settings, role rules, usage limits, indexes for local rules material, and logs required for operation, debugging, security, abuse prevention, or cost control.

Burt does not need to store every Discord message to function. Any retained logs or indexes should be limited to what is needed for the configured features.

6. What Burt Does Not Do

Burt does not sell user data. Burt does not collect payment card details. Burt is not designed to build advertising profiles. Burt should not be used to collect special-category, highly sensitive, or confidential personal data.

7. Sharing and Disclosure

Information may be shared with Discord as part of normal bot operation, with third-party AI/API providers when AI features are used, with hosting or infrastructure providers needed to run Burt, and with server administrators where logs or moderation features are available.

Information may also be disclosed if required to investigate abuse, protect the service, comply with legal obligations, or respond to valid authority requests.

8. Local Rules, PDFs, and Campaign Files

If the bot operator supplies rulebooks, campaign notes, PDFs, JSON files, or other reference material, Burt may index or read that material to answer authorised commands. Server operators should only upload material they have permission to use.

Game-master-only material may include spoilers, hidden encounters, maps, monsters, treasure, or campaign secrets. Access should be restricted by channel and role permissions.

9. Retention and Deletion

Retention depends on the bot setup and hosting environment. Configuration data may be kept while Burt remains installed or while it is needed to operate server features. Logs may be kept for debugging, abuse prevention, security, and usage control, then deleted or rotated when no longer needed.

To request removal of Burt configuration or server-specific data, contact the server owner or bot operator.

10. Children and Younger Users

Burt is intended for Discord communities and tabletop gaming servers. Server owners are responsible for deciding whether their community is appropriate for younger users and for applying Discord permissions, moderation, and age-appropriate rules.

11. Security

Reasonable measures should be used to protect Burt’s tokens, configuration files, logs, uploaded reference material, and hosting environment. No online service can guarantee perfect security.

Users must not attempt to extract secrets, tokens, API keys, hidden prompts, private configuration, or restricted campaign material.

12. Changes to this Policy

This policy may be updated as Burt changes. Continued use of Burt after updates means the updated policy applies.
